Refund Policy

1. Policy Summary

V-Rail offers a 30-day Refund-on-Failure guarantee. If our delivered analysis fails to match the SKU specification, or is factually at odds with the records you supplied, you may request a refund within 30 days of analysis delivery. This policy applies uniformly to all paid SKUs: B2C bundles (Snapshot, GrowthKit, LaunchPack), B2B atomic components (Lead Contact, FullIntel, Customized Mail Copy, Nurture Sequence, ABM, FullAnalysisReport), and the Joint SKU (SiteScore Update). Free Tier SKUs (Free Analysis (a1), Free Lead Preview (d1)) are not subject to refund — no payment occurred.

2. What is Covered (Refund-on-Failure)

  • Analysis output materially deviates from the SKU specification (for example: FullAnalysisReport delivered without the required PPTX structure; ABM analysis missing required components; bundle missing one of the documented components).
  • Analysis was never delivered within the published SLA after payment confirmation.
  • Technical failure causing data loss or non-delivery.
  • Provider charge error (for example: charged twice for the same SKU).
  • For bundle SKUs: failure of a component listed in the bundle’s specification is refundable for that component, per “What is refunded” below. Where every component of a bundle failed, the refund covers the whole bundle — but a single failed component does not.
  • Factual mismatch with your own records. The analysis states a figure, count, or classification that the export you supplied contradicts. This is distinct from disagreeing with an interpretation (see Section 3): a factual mismatch means the analysis asserts something your own data does not support. To claim, send (1) the export the analysis was based on and (2) the specific point of mismatch — which statement in the deliverable conflicts with which part of your record.

What is refunded. Refunds are assessed per item, not per pack. Unused credits are refundable. A delivered deliverable is refunded for the specific item shown to contain the error; a single disputed deliverable does not refund an entire credit pack.

3. What is NOT Covered (Variance Refunds)

  • Buyer’s remorse or change of mind after delivery.
  • Business outcomes. V-Rail does not guarantee that acting on an analysis produces any particular business result. An analysis that is accurate against your records is not refundable because the outcome was disappointing. Where a prescription was supplied with the deliverable, an outcome-related claim additionally requires one post-prescription re-measurement, which V-Rail provides at no charge; if that re-measurement shows the prescription was not carried out, the claim is excluded.
  • Customer’s product URL changed after submission.
  • Customer’s market or targeting strategy changed after delivery.
  • Disagreement with analysis interpretation when the analysis follows the spec (best-fit buyer scoring is probabilistic by nature; recommendations are advisory).
  • Customer’s own data quality (for example: URL pointed to the wrong product, or CSV upload contained malformed rows).
  • Partial-use objections after the analysis has been delivered and reviewed in full.

Variance refunds (mere change of mind) are not covered by V-Rail’s voluntary policy. Statutory consumer rights are preserved per Section 7.

4. Refund Window

30 days from analysis delivery date. The delivery date is the timestamp of the V-Rail email notification sent to the address you provided at checkout (typically a magic-link or completion email).

Customer refund requests must be received within 30 calendar days of the delivery timestamp. Requests received after 30 days are reviewed case-by-case and not guaranteed.

For Airwallex bank-transfer purchases: the 30-day refund window starts after analysis delivery, not after bank-transfer confirmation. This means slow bank confirmation does not erode your refund window.

This window is V-Rail’s own policy. It is stated independently of any payment processor’s buyer-protection program; your rights under those programs are governed by their terms, not by this policy, and are unaffected by it.

5. How to Request a Refund

Email maxie@vrail.io with:

  • Order reference (the anon_id from your checkout receipt OR your portal user ID)
  • SKU purchased
  • Specific description of the spec mismatch

Response SLA:

V-Rail acknowledges refund requests as soon as practicable, typically within 5 business days of receipt. If a request requires additional verification (for example, reviewing the analysis deliverable against the SKU specification, or coordinating with the payment processor on a charge error), V-Rail will provide a status update within 5 business days and a substantive response within 10 business days. The Customer may follow up at maxie@vrail.io if a response is not received within these windows.

6. Processing Timeline

Refunds are executed manually. We do not run an automated refund pipeline, and we would rather tell you that than imply your money is already moving when a person still has to start it.

Once a refund is approved:

  • Our step: we initiate the refund with the original payment processor within 5 business days of approving your request, and we confirm to you by email when we have done so. This part is our commitment.
  • PayPal: once initiated, PayPal returns the funds to your original payment method. PayPal publishes a typical arrival of 3–5 business days.
  • Airwallex bank transfer: once initiated, the funds return to the originating bank account, typically within 5–10 business days depending on the receiving bank.

The second and third steps are the processors’ own timeframes, not ours. We can tell you when we started the refund; we cannot commit to when a bank finishes it.

Refunds are processed in the original payment currency (USD). Any currency conversion costs imposed by the receiving bank are not reimbursable by V-Rail.

7. Statutory Rights Notice

Notwithstanding V-Rail’s voluntary Refund-on-Failure policy, consumers in the European Union, European Economic Area, United Kingdom, and Republic of Korea retain statutory rights under applicable consumer protection law.

The cooling-off waiver described in /terms Section 4 applies only to the cooling-off / withdrawal right; it does NOT waive other statutory consumer rights, including refund rights for non-conforming goods or services.

Republic of Korea consumers retain rights under Article 17(3) of the Act on the Consumer Protection in Electronic Commerce (3-month window from contract date or 30-day window from discovery, whichever is earlier, for material non-conformity).

Where statutory consumer rights apply in your jurisdiction and conflict with this voluntary policy, statutory rights prevail.
